    Approval of Minutes

    The June Minutes were approved.


    Website Updates

    Catalog

    Harrell and Diaz announce that the online catalog for 2023-24 will go live on Monday and that eLumen was fully implemented in the web-based catalog. The catalog maintained the same layout, but received significant updates from the Communications team. The new catalog makes it easier for students to search for courses and degrees. The Web Team doesn't have to go through documents for edits anymore and can now use the eLumen dashboard.


    Review ISER Accreditation Draft III. C

    Spatafore asks the group to read and review ISER Draft III. C, adding that in November the committee could briefly review the whole ISER document. Spatafore adds that Bailey is present since he has been spearheading the complex project.

     Pape notes that Popetech (a Canvas accessibility tool) has not been added to the document. Pape noted that program review will not be in Elumen. She also adds that it is an accomplishment for student success analytics (Precision Campus) to be pushed out to faculty so quickly and that it should be mentioned in the document. 

    Bailey mentions that Precision Campus is mentioned in another part of the ISER document. Hadsell adds that he has more information on the Popetech tool that can be added into the document. 

    Nocito mentions that page 10, which discusses training for online faculty, does not mention the Canvas certification program and process. She also notes that even though Capurso and herself have been hired in Online Education, there is also the addition of new instructional designers. Additionally, on Page 11, the Online Advisory group is not currently meeting – but will be meeting again soon. On the same page, Nocito adds that in additional to the Library, Online Education also provides online technical support for student. 

    Kaur adds that XB12 standards have not been met in regards to listing the five different categories of low cost or zero cost courses. Harrell demonstrates how students can currently find low cost and zero cost textbooks on the website and adds that the XB12 categories can be added later. Pape adds that the process for faculty to notify anyone about their courses being low or zero cost is problematic.

    Hadsell mentions that ETAC is working to update the technology and computer usage policies that are mentioned on the ISER document. Hadsell also adds that the section on application fraud, should be updated to relfect that the college actually checks across four different domains for fraud.

    Goal 1: Increase Overall Student Access to Technology for Learning and Services

    Includes but not limited to the provision of laptops for students, and other devices as necessary; software and software as a service (SAAS) as appropriate, both required and that would enhance the student experience; continuous technical improvement of communications resources including the website, app and portal; and classroom equipment to support student learning and engagement in evolving modalities, with classroom needs documented through updated classroom standards, program review and the Facilities Condition Assessment

    • The pubishing of the Catalog, along with elumen implementation, assists with student access to learning and services (Spatafore)

    • The network core has been updated for reliability and speed (Hadsell)

    • 100 iPads have been added to Library since March  (Ray)

    • The De Anza College Promise funds have been liberal with how students can use promise funds – many studetns have purchased technology like Chromebooks, cameras, microphones and more to assist with learning (Grey)

    • Students have used Promise funds to buy iPads, adapters and portable batteries for their school related technology (Li)

    • New cameras in Athletics allow for specialized breakdown of sports games to better serve students(Owiesny)

    • Village Centers have gotten more computers and use SARS for checking people in and out (Pape)

    Goal 2: Increase and Enhance Faculty and Staff Professional Development and Training

    Includes but not limited to robust training and related communication about the trainings based on faculty and classified professional feedback, including to holistically improve online pedagogy and pedagogy in the use of technology tools, including in evolving modalities and accessibility training

    • The ongoing Partners in Learning Conference – a series of eight workshops –   discusses online teaching and service with faculty and staff (Spatafore)

    • The increase of staff in Online Education will increase the amount of trainings available to faculty  (Pape)

    • There are ongoing security trainings , accessibility work with Popetech and course design support (Hadsell) 

    Goal 3: Continue Work to Ensure Accessibility

    Includes but not limited to implementation of SAAS to support an equitable teaching and learning environment; researching strategies and emerging technologies and implementing as appropriate; ongoing ensuring of accessibility in instructional and communications tools

    • There are ongoing security trainings , accessibility work with Popetech and course design support (Hadsell) 

    • Lakshmanan informed the Office of Communications that the standard PowerPoint template that has been used by the college does not have enough contrast to be accessible in certain lighting. Communications will update the template (Spatafore)

    • Implementation of Popetech, a Canvas accessibility tool (Lakshmanan)

    Goal 4: Enhance Communication and Collaboration with ETS to Achieve Evolving Priority College Objectives

    Strategy to include monthly small-group meetings of Tech Committee and ETS leadership, with updates as requested, on college-identified priorities including but not limited to

    • Ubiquitous, functioning Wi-Fi, including on Athletics fields and in parking lots
    • Upgraded technology for employees, including shorter personal technology refresh cycle of three years, as appropriate
    • Improving communication, including of system and software availability and changes
    • Development and support of peripheral loan program to address additional needs, such as doc cams, iPads for whiteboards, etc.
    • College-identified projects that
      • Directly affect student success or the student experience, particularly timely requests via expert administrators
      • Address regulatory issues
    • Committee work on wifi expansion (Spatafore)

    • Addition of Popetech (all)

    • Moving Banner SSB content to Banner 9 (Harrell)
    • The data leak at National Student Clearinghouse – which affected most higher education institutes – impacted a maximum of five FHDA students. De Anza informed the students of the breach and is taking next steps (Hadsell)
    • The move to Elucien New Experience will replace a lot of functions of MyPortal (Harrell)
    • DASB is almost done switching to a new system for student ID cards that is web based. Printing and managing all cards will be under the new system. DASB is also finishing up work on managing VTA clipper cards through the new online system. This will also lead to easier verification for employees and will allow DASB to be more flexible in issuing ID cards. (Shannakian)
    • Popetech implementation in canvas (Diaz)
    • For scheduling, the codes for modality are going to be broken down into more codes (Pape)
    ETS
    • Starting conversations about student tech support, (which Nocito and Shannakian were involved in) to reduce confusion in situations where students are bounced around (Hadsell)
    • ETS is replacing Kace tickets with Fresh Service for modern, integrated workflows that will streamline requests (Hadsell)
    • Students affected by the National student Clearinghouse data breach have been notified (Hadsell)
    • October is Cybersecurity Awareness Month, so ETS will create a variety of related activities (Hadsell)
    • The cybersecurity awareness trainings for the new year will be release , and the modules will cover relevant topics and should be under five mins (Hadsell)
    ETS project scheduling
    • The Library PA system is in process (Grey)
    • The Administration building will have two hybrid Zoom rooms  (ADM 106 and 109) hopefully by winter quarter (Grey)
